Creating shares

Shares are used to share specific products (or more generally: data objects) with other users, without creating a separate portal. Shares have the following characteristics:

  • They are accessible via a fixed URL, which is assigned when the Share is created.
  • Regarding which attributes to display, they refer to the source/origin portal.
    • However, you can override these attributes using a template (see below).
  • When creating the Share, you select from all products those “you want to share.”
  • They can have a time-limited validity.
    • You define a start point and an end point for the validity period.

Adding Products to a Share

The starting point to create a Share is selecting the products to include in that Share.

  • First, choose the products from the search results list that you want to add to the Share (similar to adding to the comparison list), then click the “Share” icon.
  • You can—analogous to other lists—add products to the new Share in several steps.

  • Next, go via the User Menu to the “Share table” to reach the list of products in the Share.

In this list you can perform the following functions:

  • (1) : Remove all products from the Share
  • (2) : Remove individual products from the Share
  • (3) : Create a template for the product attributes to display, or select one for the Share being created
  • (4) : Create the Share
  • (5) : Jump to the Share list

After clicking the “Create Share” button, a new window opens where you can set:

  • Validity of the Share
    • If left empty, the Share becomes valid immediately with no time restriction.
  • Name of the Share
    • This name becomes part of the URL through which the Share will be accessed (e.g., by clients or colleagues).
      • Therefore, it is advisable to avoid spaces and special characters if possible.

In this context, the Portal type is also very relevant. It defines the appearance of the Share. Options include:

  • Default: Corresponds to the portal type of the original portal.
  • Single: Only the first selected product is shown.
    • Rather uncommon for a Share.
  • Single without header: Only the first product is shown, and no portal header is displayed.
    • Rather uncommon for a Share.
  • List: Products are shown in a simple list format.
    • This type is especially suitable if you include few products (e.g., fewer than 10–20) in the Share, since with so few items, faceted search adds no real benefit.
  • Default+: Similar to Default (the standard portal), but default facet settings are ignored.

NOTE: These are the same options available when creating an ADIB portal.

After clicking “Save,” the URL for the Share is displayed, which you can copy and send (e.g., by email) to the intended recipients.

In this example, the “List” portal type was chosen. The URL and view of this Share then appear as follows:

  • The recipient sees only the selected products.
  • They can still change the view and, of course, navigate to each product’s detail information.

Editing Shares

Existing Shares can be modified at any time. Procedure:

  • In the Share list, click the “Share list” button. You arrive at the page where you can:
    • Edit Shares
    • Delete Shares
    • Open Shares

  • Suppose you want to add a product to an existing Share:
    • Click the pencil (“Edit”) icon to view the list of products currently included in that Share.
    • On that page, click the “Add” button at the bottom left.

  • You then reach the familiar portal page, but in a mode where you can add or remove products in the selected Share.
    • In this example, one product was added.

  • Via the User Menu, return to the list of products in the Share. It now contains four products.
  • You can then save this Share as usual, modifying the portal type and validity period if needed.
