Flexible Export - Excel Download

The Flexible Excel Download feature enables users to efficiently manage large volumes of products by exporting them to Microsoft Excel, editing offline, and re-importing the changes into the Edit Portal. This approach streamlines bulk updates, product creation, and deletion, while allowing precise control over which modifications are applied. Before importing, the portal automatically detects changes and displays them for review, enabling users to confirm or reject individual edits.

To begin, users select the products they wish to modify and add them to the Download List, either individually or in bulk using filters such as product class, status, or other attributes. The Download List, accessible via the User Menu, provides a complete view of selected products and allows users to choose which fields or attributes to export. Export templates can be loaded, modified, or created from scratch, using a drag-and-drop interface to define the fields included in the download.

Once the template is configured, users can export the data, selecting Export for Import if they intend to make changes and re-import them. The exported Excel file typically contains multiple sheets: the Download-Table for core product information (including ID, Action, Label, ClassID, ParentID, and StateID), subtables for complex attributes, references for product relationships, and system sheets (Selections and Meta) used for validation and metadata. Users must ensure the Action column is filled correctly, as updates, deletions, or new entries are only recognized if marked appropriately.

After editing, the modified Excel file can be uploaded via the Excel Import function. The portal identifies all changes based on the Action column, allowing users to review, filter, and select which modifications to apply. For hierarchical product structures, the ParentID field must be set correctly; it can be found by navigating the portal’s Tree view and hovering over product nodes.

Best practices include always using Export for Import when re-importing data, avoiding changes to system sheets, verifying the Action column and ParentID, and saving files in UTF-8 encoding to preserve special characters. By following these guidelines, users can efficiently maintain product data while ensuring accuracy and consistency throughout the process.
